Finance Administrator (Block Management)

Role Description

Monday to Friday, 9:00am – 5:00pm, Full time

Our client is looking for a detail-oriented and organised Finance Administrator to join our growing Finance Team. This role plays a key part in managing receipting, payments, and credit control across a portfolio of residential blocks.

The successful candidate will be responsible for maintaining accurate financial records, ensuring block bank accounts are reconciled and up to date, and supporting Property Managers with financial processes. This is an excellent opportunity for someone with strong administrative and finance skills who enjoys working within a collaborative team environment.

Key Responsibilities

  • Import receipts daily from Blocks Online using open banking.
  • Investigate and raise queries with Property Managers regarding unidentified or uncertain payments.
  • Receipt leaseholder payments across all relevant bank accounts (service charge, ground rent and reserve funds).
  • Match receipts automatically and manually across bank accounts.
  • Process invoice payments in line with company payment terms and scheduled bank runs.
  • Record invoice receipts within Blocks Online in accordance with company procedures.
  • Set up and process monthly payments relating to rental statements for the Lettings team.
  • Reconcile all block bank accounts monthly, ensuring bank provider records match Blocks Online.
  • Save transaction and bank statements to the shared drive and Blocks Online.
  • Manage existing credit control cases within your portfolio.
  • Create credit control cases for leaseholders failing to pay service charges in accordance with their lease.
  • Use Land Registry systems to access property and leaseholder documentation.
  • Follow the company recovery process, including referring cases to solicitors where necessary.
  • Build and maintain effective relationships with solicitors and monitor recovery progress.
  • Manage collections and invoice inboxes, responding to leaseholder service charge queries.
  • Ensure compliance with the TPI Consumer Charter and Standards.

Requirements:

  • Full UK driving licence and access to your own car
  • Strong IT skills
  • Knowledge of block management or property finance (desirable)
  • Understanding of block and financial legislation (desirable)
