
Block Management Team Leader
Role Description
Monday to Friday, 8:00am – 5:30pm
Our client is looking for a team leader to join their block management department. In this role you will be involved in managing your own small portfolio, with a large portion of the role being supporting the Head of Block Management/ Director/s and the day-to-day management of an allocated team. You will lead and mentor a group of Property Managers and Assistant/ Junior/ Trainee Property Managers.
Key Duties:
- Lead and manage a team to achieve and exceed performance targets.
- Regular Team in person meetings, supporting, training and advising the team as a first port of call on aspects of the PMs portfolios. Leading by example.
- Updating the team and providing support to the Heads of Departments and Directors. Responsible for distributing information from Senior Management Team meetings.
- Organising staff cover/ or stepping yourself to meet daily workload commitments during periods of leave/ staff sickness or non-attendance.
- Providing a weekly spreadsheet update on team members and portfolios to SMT including KPIs and updates on any issues or problems requiring SMT intervention.
- You will manage a small portfolio of handpicked clients with daily property management, including finance and budgetary management, dealing with legal formalities, managing leaseholders and organising necessary maintenance works.
- Undertake site inspections of the blocks/ estates of existing portfolio and where necessary joint inspections with your team members, to check upon the condition of the buildings and grounds, ascertain works of repair, monitor and supervise on site staff and contractors.
- Liaise with resident directors, lessees, residents, contractors and others as required, including dealing with telephone calls, emails and personal visits where necessary.
- Supervising PM section 20 projects as required, ensuring invoices are correct and approving them. Monitoring and updating s20 spreadsheet and ensuring the team are progressing s20s in a timely manner.
- Supervising on site staff as appropriate, ensuring the day to day running of the properties, buildings, grounds, plant and equipment.
- Attending residents’ meetings, board meetings and AGMs and where necessary with members of your team. Subsequently, preparing and circulating minutes.
- Handle escalated problems and issues from your team and clients, resolving them according to the management agreements or company policies.
- Coach team members through solutions and escalate formal complaints to the Head of Department, with all necessary information for efficient processing.
- Assist with handover of any new blocks/ clients and in particular help with the setting up of the new client on to our systems.
- To maintain the highest possible level of positive relationship with client/s.
- To complete any other tasks as and when necessary and/ or instructed by SMT.
- At all times, working with clients instructions and the terms of the lease.
- At all times, follow the RICS Management Code and all ARMA Q Regulations.
The Ideal Candidate:
- Full UK Driving Licence, with their own car.
- Excellent attention to detail
- Ability to priorities workloads.
- Excellent level of customer service skills
- Team player
- IRPM qualified or have a good understanding of Block legislation (3-5 years experience in the industry)
- Excellent IT skills and ideally have some knowledge of block management software
